The Import module provides the capability to import conversions to PARcore.  Once conversions have been imported to PARcore, they can be assigned to eSKM, which is detailed in Assign Conversions and Stock Conversions.  To save time, there is the capability to import many conversions at one time, and conversions can be automatically assigned to eSKM using the auto-assign function.  Context-based, path-specific, and conversions for MST admins can only be assigned to eSKM through the import module using the auto-assign function. 

Item statistics, univariate frequency distributions, or conversions that need to be imported for analysis purposes or A&A in GENASYS should still be imported there, rather than PARcore.  Statistics and conversions imported to GENASYS will be available in PARcore and (if applicable) the IBIS Application , but statistics/conversions imported to PARcore do not flow backward to GENASYS.

Note that admins will be loaded to PARcore using the following notifications from the IBIS® Application:
     • For IBT and MST, if an admin has multiple packages, then the IBIS Application will send a notification each time a package within the admin is cloned or a certified package has been reused.
     • For PBT, the IBIS Application will send a notification when the admin is finalized. (this will be changed to match IBT and MST in a future phase of PARcore) 


Preparing Data for Import
The following preparation work is required prior to importing conversions.

1. Use the system defined PARcore Import Conversion Layout, which includes both the layout format and import conversion examples to create your import file. 
  • The file should be saved as "CSV (Comma delimited)", with no header information included.  Saving the file to a different comma delimited extension, such as "CSV UTF-8 (Comma delimited)" may result in errors when importing.
  • Import logic will trim spaces for numeric and character fields if they exist in the import file.
  • There is no limit on the number of conversions that can be included in one import file.
2. Determine the "context" (e.g., Test, Admin, IBIS Form Code, Input Score Name) the conversion will be for.   
  • The context data must exist in PARcore, the IBIS Application, and eSKM.
3. Determine the required conversion information (e.g., Description, Table Type, Flag Table As Final, Input Score Minimum/ Maximum/ Increment, Output Score Minimum/ Maximum/ Increment).

4. Determine data for linear or for non-linear conversions.

5. Optionally, identify the target information for auto-assigning the conversion to eSKM.


Importing Conversions
Select the Import tile on the Landing Page or from the Main Navigation select Data and Import

1. The Import & Exports page will display with the Import tab selected
2. Select the appropriate options for the following fields:
  • Purpose - Conversions
  • File Name(s): Choose the conversion file(s) that you want to import
    • The file name will be saved as the Description associated to this request, once the Job is complete.
    • If multiple files are selected, each file will have its own Job #.
  • Auto-assign conversions upon import: Select this option if you want to automatically assign the imported conversion(s) to the target(s) specified in the import file to eSKM.
  • Bypass Score Range Validation:  Select this option to bypass the auto-assign validation to check that the input score min/max in the file matches the input score min/max in eSKM.
    • This bypass is only for assignment and there will be a validation when locking the score. 
    • This validation is automatically bypassed for CAT and MST admins.

3. Select the Import button
  • Each conversion in the file is validated.  If errors are found with the import data and/or failures with the auto-assignment, file(s) noting the errors and failures will be available to download from the Job Details page. 


View Import Job
Once an Import job has been submitted, you will be taken to the Jobs tab.  

1. The following is a list of possible Status values (select Refresh Jobs List to refresh the jobs status):
  • Complete - The import and migration of conversions to SRR was successful.
  • Imported or Partial-import - The import was successful or partial-success, but the migration of statistics to SRR failed.  A ServiceNow incident will need to be entered to resolve the failed migration of item statistics to SRR.
  • Error - The import failed due to validation errors, the assignment failed due to validation errors, or there was a partial-import and the migration of statistics to SRR was successful.
 2. When your job has finished and has a Status value of Complete or Error, you will receive an Alert notification in the Global Navigation Alerts.

Import Job Details
Once an Import job has finished, select the Job # link on Jobs tab to take you to the Job Details page.  The Job Details includes the following:

• If any import errors were found, an error message will display at the top with a link to download the Error Files
• If any assignment errors were found, an error message will display at the top.  Select the Download Formatted Conversion(s) link and within the zip file, open the Job Assignment Status csv file to view the status of each assignment and the reason why the assignment failed. 
• Layout Name
• Username
• Status
• Start Date & Time
• Request ID - A Request ID will be generated for the conversion(s) that were successfully imported.
• Import File Name and a link to download the source file
• If Auto-assign was selected, a link to download the Formatted Conversion(s).  The Zip file will contain the following:
- Job Assignment Status csv file - Contains the assignment and formatted conversion file status for each conversion that was assigned to a target in eSKM.

- Formatted conversion csv file(s) - A formatted conversion file containing context information, score information, raw score, unformatted conversion score, and formatted conversion scores will be generated for each conversion that was imported and assigned to a target in eSKM.  For context-based conversions only, additional path-specific fields are also included containing context information such as path, context name(s) and context value(s).

• Number of Records - The number of conversions that were imported.

Any PAR user with access to the program the import job was run under will have access to the download file(s).  The ability to download files expires two weeks after the Job Start Date.
